This Privacy Policy explains how FieldFinity LLC (“we,” “us,” or “our”) collects, uses, stores, and protects your personal information when you use our field service management platform and related services (the “Service”). By using FieldFinity, you agree to the practices described in this policy.
2. Information We Collect
2.1 Information You Provide
When you create an account or use our Service, you may provide us with the following information:
- Account Information: Your name, email address, phone number, company name, and billing address.
- Business Data: Client information, property details, service records, estimates, invoices, scheduling data, employee information, and other business-related data you enter into the platform.
- Payment Information: Credit card or payment details processed through our third-party payment processor. We do not store full payment card numbers on our servers.
- Communications: Messages, support requests, and feedback you send to us.
2.2 Information Collected Through Google Sign-In
FieldFinity offers the option to sign in using your Google account. When you choose to sign in with Google, we receive the following information from Google:
- Basic Profile Information: Your name, email address, and profile picture.
- Email Address: Used to create and identify your account.
We only request the minimum permissions necessary for authentication during sign-in. We do not access your Google Drive files, Gmail messages, contacts, or any other Google services beyond what is needed to verify your identity and create your account.
2.3 Information Collected Through Google Calendar Integration
FieldFinity offers an optional Google Calendar integration to help you manage scheduling for jobs, appointments, and crew assignments. When you choose to connect your Google Calendar, we request permission to:
- View your calendar events: To check availability and prevent scheduling conflicts.
- Create and edit calendar events: To add jobs, appointments, and crew assignments to your calendar.
- Delete calendar events: To remove cancelled or rescheduled jobs from your calendar.
You can connect or disconnect your Google Calendar at any time through your account settings. We only access calendar data necessary to provide the scheduling features of the Service. We do not read, store, or analyze calendar events unrelated to FieldFinity jobs and appointments. Calendar data is processed in real time and is not used for advertising, marketing, or any purpose other than providing scheduling functionality within the Service.
Limited Use. FieldFinity's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer this data to third parties except as needed to provide these features, comply with applicable law, or as part of a merger or acquisition; we never use it for advertising; and we do not let humans read it except with your consent, for security or legal-compliance purposes, or when aggregated and anonymized for internal operations.
2.4 Information Collected Through Email Integration
FieldFinity offers an optional email integration that allows you to send and receive business communications (such as invoices, estimates, appointment confirmations, and support messages) within the platform. When you choose to connect a shared business email account (such as support@, billing@, or scheduling@ addresses), we access that mailbox to:
- Retrieve incoming emails: To display business communications within the platform and link them to client and job records.
- Send outgoing emails: To send invoices, estimates, appointment confirmations, and other business communications on your behalf through your connected email account.
We only access emails in the specific mailbox you connect. We do not access personal email accounts, and we do not read, scan, or analyze email content for advertising or marketing purposes. Email data is used solely to provide communication features within the Service and to link conversations to the appropriate client and job records. You can disconnect your email integration at any time through your account settings.
2.5 Information Collected Automatically
When you use our Service, we automatically collect:
- Usage Data: Pages viewed, features used, actions taken within the platform, and time spent on the Service.
- Device Information: Browser type, operating system, device type, and screen resolution.
- Log Data: IP address, access times, referring URLs, and error logs.
- Cookies and Similar Technologies: We use cookies and similar tracking technologies to maintain your session, remember your preferences, and improve the Service.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Service and its features.
- Process transactions and send related information such as purchase confirmations and invoices.

- Within Your Organization: If you are part of a multi-user account, account administrators and other authorized users within your organization may access business data associated with your account.

- Business Transfers: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
- With Your Consent: We may share your information for other purposes with your explicit consent.
5. Data Security
We implement industry-standard security measures to protect your personal information, including encryption of data in transit (TLS/SSL) and at rest, regular security assessments, access controls and authentication requirements, and secure cloud infrastructure. However, no method of transmission over the internet or electronic storage is 100% secure. We retain your personal information for as long as your account is active or as needed to provide you with the Service. If you request deletion of your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, accounting, or regulatory purposes.
7. Multi-Tenant Data Isolation
FieldFinity is a multi-tenant platform, meaning multiple organizations use the same infrastructure. We implement strict data isolation measures to ensure that your data is only accessible to authorized users within your organization. No other tenant can view, access, or modify your data.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- The right to access the personal information we hold about you.
- The right to request correction of inaccurate personal information.
- The right to request deletion of your personal information.
- The right to data portability (receiving your data in a structured, machine-readable format).
- The right to opt out of certain data processing activities.
- The right to withdraw consent where processing is based on consent.

10. Children's Privacy
Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will take steps to delete that information promptly.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on our website and updating the “Last Updated” date at the top of this policy. For significant changes, we may also send you an email notification. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
